Party Host Guide & Handbook

Parties are a privilege, and they should be treated that way. If you do not exhibit your absolute best behavior as a party host you will not be permitted to work in this position.

Scheduling:

Clocking In & Out:

WHEN CLOCKING IN FOR A PARTY, MAKE SURE YOU ARE CLOCKED INTO POSITION 2!!!!!!!!!!!

You may only clock in 45 minutes before your party begins. You are expected to begin setting up as soon as you clock in. Additionally, you only have 30 minutes to clean up after a birthday party ends, you must clock out 30 minutes after your party is over. Please note; while you are responsible for clocking in and out, a manager is monitoring and changing your hours to be exactly what you are scheduled for.

If your party runs late (we know stuff happens) you must fill out a request form, located in the break room, and have it signed by the manager working that day. If you clock out early or late without submitting a request form it will be automatically changed.

Once you are clocked in, your phone must be away at all times. Leave it in the break room. Anyone caught on their phone while clocked in (this includes before, during, and after your party) will be terminated. There are no excuses or exceptions.

*If employees arrive more than 5 minutes late to a party they may be taken off the party and expected to replace a monitor or receptionist position for the duration of the party.*

COVER POLICY

ALWAYS Direct Message Spencer with a valid reason as to why you need a cover.

Always be prepared to show written proof when someone agrees to cover your shift. A screen shot will work fine.

If you don’t show up to a party without a cover the FIRST time you will have to sign a final warning letter and you will be taken off of parties for two weeks.

If you don’t show up to a party without a cover ANOTHER time you will be completely terminated.

If you already have a final warning letter, you may be terminated after not showing up to a party once.

APPEARANCE

All party hosts must wear a Bounce shirt and a nametag, (make sure you are bringing back the same pair of bounce socks) Only one person in the party MUST grab a walkie and have it on them at all times throughout the party. Party hosts and monitors must look put together at all times. This means no sweatpants or pajamas. During the hotter months, females are only permitted to wear athletic shorts (no jean shorts, soffe shorts or nike pros).

Party hosts are not permitted to wear shoes or sneakers on the trampoline courts. They must be closed-toed shoes. Furthermore, you are not allowed to be barefoot on the trampolines, you must wear Bounce socks. You will be given one complimentary pair of socks that you must wear throughout the party. If you lose or need another pair of socks, you can purchase them for $3.

ATTITUDE

All employees must have a positive and respectful attitude towards management, coworkers and customers. No exceptions. Please reach out to me if you have any conflicts with party hosts so we can schedule everyone confidently.

You must address all customers (this includes people who are not part of the birthday parties) politely. Refer to adults as ma’am and sir and refer to kids as buddy or sweetie. You should smile at customers and have a positive attitude. If you are unable to be respectful & professional while maintaining a positive attitude you will not be allowed to do parties.

Be nice when enforcing the rules. If you have a party that is out of control, instead of being mean to the kids, get a manager and we will take care of it. Do not compromise your character for misbehaved children.

SETTING UP

The party boxes or party sheets will be in a wall file by the party office. You are expected to start setting up as soon as you are clocked in. If there are no party sheets, please ask a party planner what room you are in and please start setting up while they print more.

A full birthday party set up includes:

  • -Make sure when grabbing a party sheet, that you check for any add ons (paper goods/favors/balloons)

  •  If your party sheet states “Bringing in paper goods”, check the party office to see if the parents dropped them off, if not then set up the room without paper goods!

  • Putting out the appropriate amount of tables and chairs for the children in the birthday party.

  • Setting up extra chairs outside of the party room/reserved parent seating area

  • Setting up table cloths, plates, napkins, water bottles and cups. This includes making sure your party room has enough plates, napkins, hand sanitizer, etc. before the party begins.

  • Grabbing party favors or any extras purchased by the party family as indicated on the boxes from the party office.

  • Removing any extra chairs or tables from the party rooms

  • Getting water bottles from the kitchen.

  • Hanging up the name sign!!!

  • REPORT TO YOUR ASSIGNED SPOT (ON BOTTOM OF PARTY SHEET) AS SOON AS YOU ARE FINISHED SETTING UP THE ROOM.

Party hosts must REMOVE all of the extra chairs and tables in the party room. You can leave the extra chairs and tables in the walkway between Party Room 4 & 5. Please contact a manager if you need help doing this in a timely manner.

As soon as the party room is set up, at least one party host must wait in the lobby for their guests with their party carts. The other host/s should be at the party check-in area ready to help! Party hosts are expected to walk each guest through the waiver process and to the party room. Under no circumstances should I see party guests lost, dazed or confused; furthermore, no party guests should be carrying their presents, you MUST offer to help ALL guests; not just the birthday family.

PARTY ARRIVAL

Once your party parents and birthday child has arrived all of the hosts must introduce themselves. It is a good idea to quickly explain your responsibilities to the parents for example:

“Hi I’m Rachel. I’ll be waiting in the front to direct all of your guests through the check in process and to the party room while Jackie stays in the room to play with the kids and then gets the party started at 10:30.  I will wait in the front until almost all of your guests are here and then I will join the party on the trampoline courts. If you need anything at all, don’t hesitate to let me know.” Keep it short and sweet.

After introducing yourself, please walk the party to the party check in desk, while walking them over ask them if they already have a waiver filled out. If a waiver is not filled out, show them the kiosk or they can fill it out on their phone!

If your party brings in a cake, additional food or additional drinks help them carry it in! All items should go directly into the party room. If they bring in an ice cream cake, we can store it in our freezer, but be sure to tell the party planner assigned to your time slot so they can take it out at the right time! If we don’t know there is a cake we can’t take it out!

PARTY CHECK IN

All party hosts must escort guests to the party check in room, and then to the room. PLEASE NOTE THAT THERE IS A DIFFERENCE BETWEEN POINTING YOUR PARTY GUESTS TO THE CHECK IN DESK AND ESCORTING THEM. YOU MUST ESCORT THEM. Party check in includes checking guests' waivers, writing up a head count with all of the party guests names, and handing each guest a wristband and a name tag. If there is a long line filled, please help the person working party check in.

You can help by making sure every customer on line already filled out the waiver, and by helping to give the wristbands and nametags out after the guest’s waiver is checked.

You may never let a customer put a wristband on their child. Wristbands must be given out by US ONLY.

**Do NOT give out wristbands or stickers yourself until a team member working party check in has assured you that the guest has a waiver completed!**

Each guest in the party will receive a pair of socks upon checking in at the party check in desk! They will get them at the party check in desk.

Please DO NOT grab a bundle of socks for the party- the girls at check in will hand your guests a pair of socks when they check in and receive a wristband. It helps us to keep track of who has checked in or not.

If your party is beginning on TRAMPS, advise them to put their socks on first. If NOT, give them the option to put their shoes over their new socks or have them or a parent hold on to them!

Do NOT grab socks from the front desk, if you need more socks ask a manager to get them for you.

OUR WAIVER POLICY IS THE MOST IMPORTANT POLICY. NO BRACELET = NO WAIVER. All party hosts must check all kids' wrists to make sure they all have wristbands before bringing them to the first rotation. PARENTS MUST HAVE A WRISTBAND IF THEY ARE PARTICIPATING.  If there are people caught jumping as part of your party without a wristband that is grounds for termination. If you are having an issue with a waiver, please get a manager immediately. Management will be readily available during the check in process.

**You may not let anyone participate in your party (even for one rotation) without a wristband, this includes parents.** Management is happy to escort any guests that arrive late and join the party without being checked in!

If you are still in the lobby after the party has started, you MUST take all of your guests shoes and presents in your cart in effort to have the guests get started right away (without even having to stop at the room). You must escort all guests to the party on the courts.

After all of the party hosts have left the lobby, it is now the party check in worker and the front hostess responsibility to direct guests who arrive late to your party.

90 MINUTES OF PLAY TIME

All birthday parties begin with 90 minutes of activity (split into three 30 minute rotations), unless otherwise indicated on the party boxes. We can have up to three parties at a time; and you must follow the rotation on the party boxes.

MANDATORY 30 MINS AT SOFT PLAY→ NO SHOES→ MAKE SURE ALL HOSTS ARE ON THE SOFT PLAY WITH THE CHILDREN, MAKE SURE YOU ARE WATCHING ALL EXITS TO MAKE SURE THE CHILDREN DON'T LEAVE THIS SECTION, ALSO MAKE SURE YOU ARE MOVING AROUND AND NOT SITTING ON THE SOFT PLAY.

You are expected to follow the rotation exactly as it is written and rotate on time. If your party appears bored, bring them to get a drink of water. Use the walkie-talkie before moving stations.

MAKE SURE YOU DO NOT ROTATE WITHOUT THE PERMISSION OF THE MANAGER ON YOUR TIME SLOT!

Make sure you are bringing your cart around the facility everywhere you go, there should be a case of water on your cart along with the party children shoes. Do not leave your cart unattended.

Starting the Party→ 5 minutes before the party start time, it is your responsibility to ask party parents if they are ready to get started--regardless of whether the entire party has arrived/check-in. At this point you should alert parents that if they do not start on time, they may not be able to make up for any missed activities!

IF YOUR PARTY IS STARTING LATE, NEVER PROMISE THE PARENTS ANY EXTRA TIME MAKE SURE YOU ARE TALKING WITH YOUR PARTY PLANNER AND PARTY MANAGER ON THE TIMESLOT.

Monitors on the courts should be notified that your party is coming before you arrive.

At each trampoline court party monitors must go over the basic rules before beginning to bounce.

Basketball: One at a time, don’t hang on the rims, make it or miss it, keep going, no flips.

Dodgeball: Split the teams up equally, if the ball hits you you’re out, if you catch a ball the person who threw it is out. There is no climbing on the padding and there are absolutely no headshots allowed.

Adventure Zone- All hosts are required to go on the ropes course (exception for medical reasons/if you spoke with SPENCER/KATE). Please make sure you are harnessing your party, the manager at ropes will have no problem telling me who is helping and who stands back there for 30 mins. Friendly reminder that just because you are working a party that does not mean you can ignore a customer, you must ask them to wait and grab a ropes operator nicely!!

SOFTPLAY- Make sure you have socks on, make sure you are watching all exits, MAKE SURE YOU ARE MOVING AROUND, IF YOU ARE CAUGHT SITTING AROUND THERE WILL BE CONSEQUENCES.

Toddler Town- make sure it is 6 and under only. No shoes allowed, keep an eye on kids make sure they do not run out of this section. Make sure the swings aren’t hitting any children while in motion. (You have a monitor there too for help if needed)

Axe Throwing: as of right now we don’t have any axe throwing in the party package but if anyone in your party is interested you can go to the front desk and purchase a pass!

Bar: Your party might have an open bar tab, you can always check by reading your party boxes, if so you can always double check with your party planner so you can let the parents know to go to the bar, always check in with your party parents first :) NEVER TOUCH ANY DRINKS!!

Arcade: if  anyone seems to be having trouble with a game you can either send them to the redemption center (if manager is present) if not call over a manager and we will help. Some parties like to add on arcade cards, if this happens it can be used as a rotation but most likely added on as a favor or just something to use after the party, either you can double check with the party parent or you can ask the party planner on your timeslot!

Bounce Babies: Go over procedure! Line up all the children, have them choose an animal, you can have them sit and color while one of the hosts helps the children stuff the animal.  Make sure one of you is sitting with the children.

KITCHEN

MAKE SURE YOU DO NOT WALK IN THE KITCHEN WITH THE CART OR THE PIZZA BAG LEAVE IT ON ONE OF THE CARTS IN PARTY ROOM 8 (STORAGE ROOM BEHIND KITCHEN) WITH YOUR PIZZA TRAYS AND KNIFE IN THERE MAKE SURE THE KNIFE IS COVERED WITH PAPER TOWEL OR A CHURRO SLEEVE .

MAKE SURE YOU WIPE DOWN YOUR CART AFTER YOUR PARTY.

GRAB THE MANAGER ON YOUR TIMESLOT BEFORE LEAVING YOUR PARTY ROOM AND THEY WILL CHECK YOUR ROOM AND LET YOU KNOW IF YOUR GOOD TO LEAVE.

*** IF YOU ARE ON 6-8/7:30-9:30 MAKE SURE YOU BRING YOUR STUFF INTO THE KITCHEN TO CLEAN RIGHT AWAY( ASK THE MANAGER ON YOUR TIME SLOT TO BRING SOMETHING TO THE KITCHEN IF YOU NEED HELP)****

Once your party is on the trampoline courts, you are expected to monitor. This means enforcing the rules to those jumping in your party, staying spread out, and not talking to other workers or party hosts. No shoes on the trampoline courts.

If you have a party that doesn’t listen to rules, please get a manager immediately.

In reference to rotating and sharing the facility with the public:

Trampoline Courts: When you are on the rotation in our basic attractions you must follow these rules:

  • If when you arrive there is still public on the court you are assigned to ask them to leave politely and ask them to come back in 10 minutes. (Get the court manager if they aren't leaving)

  • You need to be enforcing the rules. The best way to do this is to tell your party the rules before they enter one of the trampolines.

  • If you need to use the bathroom you need to ask a manager to help watch your party under no circumstances should you leave your party without a managers permission

  • You must follow the trampoline rotation exactly as it's written!

Hosts are expected to be with their party the whole time, there is absolutely NO wandering. If you need to leave for whatever reason, including to use the bathroom you must contact a manager.

ALL WORKERS MUST PUT FORTH A CONSCIOUS EFFORT TO FOLLOW THESE RULES.

30 MINUTES IN THE PARTY ROOM

MAKE SURE YOU DO NOT GO BACK INTO THE PARTY ROOM WITHOUT THE PERMISSION OF THE MANAGER ON YOUR TIME SLOT!

At no point should you EVER leave the party room once the party is back in the room.

Once a manager tells you the room is ready, you must escort your group back to the assigned party room. This includes stopping at the restrooms to wash their hands or making sure each guest sanitizes their hands before eating!!!

In the party room you should tell guests to take a seat, serve pizza and cake, and be respectful to children and parents.

Rules for serving food include:

  • ALWAYS WASHING YOUR HANDS BEFORE HANDLING FOOD

  • Wearing gloves

  • Hosts with longer hair should tie their hair back.

If a guest in the party needs something such as more soda, a pizza box etc-You must walkie a manager or party planner to get it for you!

Be sure to neatly place all of the party guest’s presents into a CLEAR garbage bag and offer to bring the bag full of presents and any extra food, cake or favors to the car. Use your cart. (IF YOU NEED A BIGGER CART YOU MUST ASK THE KITCHEN MANAGER IF YOU CAN BORROW IT)

Make sure to POLITELY remind parents that they have to settle up the bill with a party planner. BEFORE YOU BRING YOUR PARTY PARENT OVER ASK ON THE WALKIE IF THE PARTY PLANNER IS READY FOR BILLS.YOU MUST WALK YOUR PARTY FAMILY TO PAY, make sure the party planner knows who’s party they are there for and that the party planner has taken over you are good to go back to your room and start cleaning.  This can be done by saying: “I know you already left a deposit but when you’re ready my manager will settle up the balance with you.”

DO NOT TALK ABOUT TIPS REGARDLESS IF PARENTS ARE AROUND OR NOT.

If there is extra food- either throw it away or eat it in the breakroom or the eating area by the snack bar. YOU ARE NOT ALLOWED TO EAT FOOD WHILE CLEANING UP PARTY ROOM. If you guys are caught eating clocked in, you will receive a final warning letter, you guys can save the food but eat it when you are clocked out.
